What an AI consultant actually does for a small business
A good AI consultant does three things. First, they look at how your business actually runs: where the phones ring and get missed, where quotes sit half-written, where invoices age past ninety days. Second, they match those pain points to tools that exist today, including ones you already pay for. Third, they build, test, and stay around after launch.
What they do not do is sell you a chatbot and disappear. If someone pitches you AI before asking how your business works, that is a vendor, not a consultant.
What working with us looks like
We keep engagements small and fixed. Most clients start with one of three tracks:
- Foundations. Your website, Google Business Profile, and phone setup, fixed so everything downstream has something solid to attach to. Usually a one-time build inside a week.
- Workflows. The repetitive screen work: missed-call text-back, instant lead follow-up, quote drafting, invoice chasing, scheduling reminders. Priced flat per workflow, live in days.
- Custom agents. An AI receptionist or agent that knows your services, prices, and policies, and hands anything unusual to a human. This is where the newer “agentic” tooling fits, and we are honest about what it can and cannot do yet.
Every job starts with a free walkthrough on the phone. You approve a written scope and a flat price before we build anything.
How to choose an AI consulting company
Whether you hire us or someone else, ask these questions. A serious firm answers all five without hesitating:
- Who owns the accounts? The answer must be you. Your Google profile, your phone number, your AI subscriptions.
- Can you explain this without jargon? If you cannot repeat the plan back to your crew at lunch, it is not a plan.
- What happens when the AI is wrong? There must be an escalation path to a human, and a scope the AI stays inside.
- What does it cost, all in? Flat beats hourly. Monthly monitoring beats surprise invoices.
- Can I leave? Everything should be documented in accounts you control, so offboarding costs you nothing.
What it costs
Foundations and single workflows typically run a few hundred dollars as a one-time build, with most clients then keeping a flat monthly plan for monitoring and improvements. Custom agents cost more, and we will tell you plainly when a workflow is not worth the money. Sometimes the right answer is a pad of paper.
Where we work
We are based in Massachusetts and work with owner-operated businesses across the state: contractors and trades from the North Shore down to the Cape, restaurants and shops around Boston, Worcester, and Springfield, clinics and professional offices everywhere in between. If you can describe your business in a phone call, we can probably help it.
Common questions
Do I need to be technical?
No. You describe how the business runs. We handle setup, connections, and upkeep, and we show your team how to use everything before we call it done.
How fast is something live?
Basics like missed-call text-back usually land inside a week. Full workflow builds run two to four weeks depending on how many tools we connect.
Will the AI say something wrong to my customers?
Every assistant is scoped to your business: your services, your prices, your policies. Anything outside that scope goes to you. You approve its knowledge before launch, and we monitor conversations after.
Worth doing this week
Three steps, no obligation. One, write down the task you dread most, the one you put off until Sunday night. Two, call or text 617-398-0033 and describe it in five minutes. Three, let us tell you honestly whether automation fits, and what it would cost. If it does not pencil out, we will say so.
